Terms & Conditions
When booking with CoDan Agentura the client shall recognise without any exception the following contractual conditions:
General Booking Conditions
It is CoDan Agentura's goal to answer all:
FIT requests 24 hours
Group requests 48 hours
Requests are only accepted as confirmed if we receive a written order, followed by confirmation of the offer by fax, email or post. This form of contract ensures that the customer has accepted our booking conditions. All reservations for services follow generally the same procedure, but please take the time to read the information specific to the service for which you wish to make a booking.
Conditions of payment
When the client receives confirmation from CoDan Agentura she/he will also receive an invoice for the total amount of all services ordered. Payments are to be made by bank transfer and a copy of the transaction must be sent as proof. Only after the deposit has been paid will a voucher be issued. Payments are latest to be made as follows:
FIT payments 100% 2 weeks prior to the arrival date
Group payments 50% 6 weeks prior to the arrival date
50% 2 weeks prior to the arrival date
Certain circumstances arrangements can be made for the client to pay upon arrival, but this only applies to visits to the Czech Republic and Hungary and if an agreement has been signed. If the period between the client's booking and arrival is less than 43 days the invoice must be paid immediately and a copy of the bank transfer forwarded to CoDan Agentura.
In the event of a 'last minute' booking, conditions of payment will be agreed on a client by client basis. If an invoice is not paid in time CoDan Agentura reserves the right to implement
a penalty of 1 percent per outstanding day.
Important - please note!
CoDan Agentura reserves the right to cancel all or part of a booking if the conditions of payment are not kept. CoDan Agentura can only guarantee the prices offered if there is no unexpected alteration in law or other special circumstances.
Cancellation Conditions
Accommodation
For confirmed bookings the cancellation fee is a percentage of the final amount.
FIT 4 days prior to arrival no fee will be incurred
3 – 0 days prior to arrival 100% of the 1 st night will be incurred
No show 100% of the total price will be incurred
Group 35 – 21 days prior to arrival 100% of the 1 st night will be incurred
20 – 15 days prior to arrival 50% of the total price will be incurred
14 – 8 days prior to arrival 80% of the total price will be incurred
7 – 0 days prior to arrival 100% of the total price will be incurred
No show 100% of the total price will be incurred
All cancellations must be sent in writing, the cancellation date will be set as the date when CoDan Agentura receives the cancellation details. Cancellations are not valid without a confirmation from CoDan Agentura.
If there is to be a reduction in the number of participants there is no cancellation charge so long as the reduction of participants is by less than 10 percent.
Transfers
FIT & Group 4 days prior to arrival no fee will be incurred
3 days prior to arrival 20% of the total price will be incurred
2 – 0 days prior to arrival 100% of the total price will be incurred
No show 100% of the total price will be incurred
Tours / Excursions
FIT 3 days prior to arrival no fee will be incurred
2 – 0 days prior to arrival 100% of the total price will be incurred
No show 100% of the total price will be incurred
Group 9 days prior to arrival no fee will be incurred
8 days prior to arrival 70% of the total price will be incurred
7 – 0 days prior to arrival 100% of the total price will be incurred
No show 100% of the total price will be incurred
Ticket Cancellation Fees
FIT & Group 19 days prior to arrival no fee will be incurred
18 – 0 days prior to arrival 100% of the total price will be incurred
No show 100% of the total price will be incurred
Exceptions: Prague National Theatre and Prague Estates Theatre with less than 35 days notice, 100 percent of the total amount.
Complaints and Refunds
Any complaints regarding the service provided by CoDan Agentura have to be made during the clients visit or at least 21 days following their departure.
Laws
Negotiation is considered a normal method of solving problems regarding contractual greements. If these negotiations do not yield any positive results for either party concerned, the matter will be forwarded to the appropriate legal body, whose decision will be final.
